Privacy Policy

SysHub (“we”, “us”, or “our”) operates the website sys-hub.com and the web application at app.sys-hub.com (collectively, the “Service”). SysHub is a hardware engineering project management platform with an integrated 3D CAD viewer.

We collect the following categories of information:

Account Information

When you create an account — either with an email address and password or via Google Sign-In — we store your email address and a unique user identifier (UID) assigned by Firebase Authentication. If you register with Google, we receive only the email address and UID from your Google account; we do not receive your Google password or any other Google profile data beyond what you explicitly grant.

Project & Product Data

All content you create inside the app — including project names, descriptions, task boards, kanban cards, file attachments, links, part notes, class assignments, and version history — is stored in our database and associated with your account.

CAD Files

When you upload a STEP or STP file, it is stored in Firebase Storage under a path scoped to your user ID. Our cloud pipeline automatically converts the file to an optimized 3D model (GLB format) and stores the result alongside the original. Both files are accessible only to you and any collaborators you explicitly invite.

Collaborator Information

When you invite someone to collaborate, you provide their email address. We use that address to look up their SysHub account and send them a transactional invite email. The invitee’s email address and UID are stored in the invite record. We do not use collaborator email addresses for any purpose other than delivering the invite and granting access.

Usage & Analytics Data (Marketing Site Only)

On the marketing website (sys-hub.com), we use Google Analytics 4 to collect anonymized usage data such as page views, session duration, and general geographic region. This data is collected via cookies and does not include personally identifiable information. Google Analytics is not loaded inside the application at app.sys-hub.com.

We use the information we collect to:

• Authenticate you and maintain your session.
• Store and display your projects, products, tasks, and CAD files.
• Process uploaded STEP/STP files and generate 3D models for the viewer.
• Enable collaboration by matching invite emails to existing accounts and notifying invitees.
• Send transactional emails (collaboration invites only — no marketing emails).
• Understand aggregate usage patterns on the marketing site to improve the product.
• Respond to support requests sent to hello@sys-hub.com.

We do not sell your personal data. We do not use your data for advertising or share it with third parties for their own marketing purposes.

SysHub is built on top of several third-party infrastructure providers. By using the Service, your data is also subject to their respective privacy policies.

All user data in Firestore and Firebase Storage is strictly isolated by user ID. Our Firestore security rules enforce that you can only read or write your own documents. Collaborators are granted access only to the specific projects, products, or parts you explicitly share with them — and only with the role (viewer or editor) you assign.

STEP and STP file uploads are validated server-side to enforce file type restrictions. Converted GLB files are stored with long-lived cache headers but remain protected by Firebase Storage security rules.

While we take reasonable technical measures to protect your data, no system is completely immune to security risks. We encourage you to use a strong, unique password and to sign out of shared devices.

When you invite a collaborator, the following occurs:

1. We look up the invitee’s email address in Firebase Authentication to confirm they have a SysHub account. If no account exists, the invite is rejected and no data is stored.
2. A pending invite record is created in Firestore containing both parties’ UIDs and email addresses, the scope of access, and the assigned role.
3. A transactional email is sent to the invitee via Mailgun notifying them of the invite. This is the only email SysHub sends — we do not send newsletters, promotional emails, or any other unsolicited communications.
4. The invitee can accept or decline the invite from their dashboard. Access is only granted upon acceptance.

Pending invite records are retained until the invite is accepted, declined, or revoked by the inviter.

We retain your data for as long as your account is active. You can delete individual projects, products, tasks, and files at any time from within the application.

To request deletion of your entire account and all associated data (including Firestore documents and Storage files), please email us at hello@sys-hub.com from the address associated with your account. We will process deletion requests within 30 days.

Note that if you have shared projects with collaborators, those collaborators may retain copies of any data they downloaded before deletion.

The SysHub application (app.sys-hub.com) uses only the cookies necessary for Firebase Authentication to maintain your session. No advertising or tracking cookies are set in the application.

The marketing website (sys-hub.com) uses Google Analytics 4, which sets cookies to distinguish unique visitors and measure traffic. The data collected is anonymized and aggregated. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate personal data.
• Request deletion of your personal data.
• Object to or restrict certain processing of your data.
• Receive a copy of your data in a portable format.

We may update this Privacy Policy from time to time. When we do, we will revise the “Effective Date” at the top of this page. We encourage you to review this policy periodically. Continued use of the Service after changes are posted constitutes your acceptance of the updated policy.

For material changes, we will make reasonable efforts to notify you — for example, by sending an email to the address associated with your account.
